Offer of Appointments

Choose clients from the top of the office waiting list. By clicking “Open mediation Session Page”, appointments are offered sequentially to P1 and P2.  Depending on time constraints appointments may be offered by; (i) telephone in the case of short notice, (ii) creating an appointment letter, and/or (iii) SMS text.  Subsequent appointments can be offered by choosing “in session” option.  Click on “New Session” and complete the relevant date, time, mediator and session type. 

The system will not allow “double booking” or register an appointment if mediators are not scheduled to work on that date.  The user will be prompted with a warning message and the user must choose an alternative date. 

When P1 confirms (Click “P1 confirmed”), the case moves from “WAITING” to “TIMESLOT”.  When P2 confirms, the case then moves to “ACTIVE”.  Timeslots and active cases are visible on the office diary/calendar as “not confirmed appointments”.   If clients “decline” an appointment, it is deemed cancelled. Clients are then placed on a “Standby” waiting list. It will be necessary to (re)offer an additional appointment to clients on the “Standby” list bearing in mind the LABFMS cancellation policy (see Appendix G).
