Placed on Waiting List
When P2 contacts the office, the following information is sought: name, address, phone number, details of marrigage/relationship, pending court orders, and law centre details (if any). Input the “confirmation date” to prompt this case to move onto the “WAITING LIST”. Ask P2 if they wish to receive a list of financial documents in preparation for mediation.
Prior to issuing a “placed on waiting list” letter, return to P1 informing them that they will be placed on the waiting list and confirm common details given by P2. Seek additional information i.e. any court orders pending if not received from P1. Ask P1 if they wish to receive a list of financial documents in preparation for mediation.
If clients agree to text reminders they will receive these for session types “Adult”, “Child” and “Family” but no reminder will be sent when “Writing-Up Agreement” selected.
A letter is now required to issue to Party 1 and Party 2 to inform them they have been placed on the waiting list. Select “Documents”, click on “Create New Document”.
This then opens a document editor page for clients. Open “Templates” (see below) and by choosing “Placed on waiting list letter P1/P2”, this produces a letter for clients informing them they are now placed on the office waiting list. Enclose Cancellation policy documents with the waiting list letter to both clients and financial documents if clients requested them.
CO will offer appointments to clients from the waiting list when: (i) mediator notifies CO, (ii) and in consultation with Managing Mediators when there are cancellations and/or “gaps” in the diary.
